Your trusted human
What job would you give to AI?
Almost no one knows how to answer this at first. And almost everyone starts from the same place: thinking about what we don't like to do. That's how random things come out that don't change anything about the business.
There is an easier way to look at it. Think about how you hire someone.
You don't hire someone for something you don't like. You hire them to help you with what they're paid to do: sell, dispatch, and serve your customers. You explain what they have to do, check how they do it, and in front of your customer, you remain the responsible person.
With AI it’s the same. Start with your job: what you do every day and what you get paid for. Then look at everything you have to do to get that job done and take the time away from you: hand-picking orders, checking a customer’s balance, resending receipts, answering the same thing twenty times a day. That's what you give to the AI.
Pedro has a parts distributor. His job is to sell.
But the day goes by answering the same thing: if there is one, how much does it cost, send me a photo. And while he answers, the catalog gets old, because there is never time to update it. It’s like you have no time to fill up the gas tank because you’re driving.
That's a good job for AI: to answer those questions with the up-to-date catalog, and when it doesn't know something, to ask Pedro for help and tell him what the catalog lacks to answer better.
Pedro never stops selling. Now his job is to thoroughly know the catalog, explain it to himself, and answer difficult questions.
What you would explain to him on the first day
You explain the work to a new person before they start. The same goes for AI. There are four questions:
Where is it happening today? Where does that work come from: WhatsApp, email, the counter. The real place, not the ideal one.
What should I do? What comes to him, what he has to deliver and to whom.
What does he do without being asked? What you have to check or notify on your own, without anyone remembering to ask you to do so.
How do we know if it works? What number of business would you say is doing well in a month?.
And one more, the one that gets forgotten: who's going to review it. If no one is going to review it, you're not giving them a job. You're leaving them with a loose end.
It seems obvious. Until you write it down.
All of this sounds logical, and it is. The surprise comes when you sit down to actually write it out.
The person who does that work today knows it by heart, but he never had to explain it. That’s where the gaps appear: everyone does it a little differently, it’s not clear where it comes from, and almost no one knows how to answer the fourth question. We do it every day and we don’t know what it looks like when it goes well.
That’s normal, and that’s exactly what needs to be resolved before giving it to anyone, person or AI. If you couldn’t explain it to someone new, you won’t be able to explain it to the AI either. That’s what’s taken me the longest to learn in every business I’ve put an agent to work in.
Three ways to achieve it.
Copy this text and paste it into ChatGPT, Claude, Gemini, or whatever you use. It will interview you with one question at a time, starting with your work, and at the end it leaves everything written down with a message ready for Max.
I want to find a job in my business that can be given to an artificial intelligence, too
I would give it to a new person I am going to hire. Help me interview by following the rules:
- Ask me just one question at a time and wait for my answer before continuing.
- Tell me about yourself, in simple Spanish, without any technical terms.
- Don't propose solutions, tools, or brands to me. Just help me think.
- If I answer something vague ("better attend", "be more efficient"), ask me for an example of something that
It happened this week.
Follow this order:
1. Start with my work, not with what I don't like to do. Ask me what I do every day
And why my clients pay me. Help me say it in one sentence.
2. Ask us to tell you about a normal day doing that work, from morning to night.
3. Help me see what I have to do to get that work done and take the time off.
Make a list of 3 to 8 things.
4. Help me choose one: the one that costs me the most or the one that takes me the most nights. It has to be
something everyday: if it were stopped for a week, you would notice it.
5. Now ask me, one by one, what I would explain to a new person on the first day:
a. Where is it happening today? How is it reaching people: WhatsApp, email, the counter, a flyer
calculation. The real place, not the ideal one.
b. What should I do? What do I get, what do I have to deliver and to whom?
c. What does he do without being asked? What would he check or alert about on his own?
d. How do we know if it works? A number of business that we can count within a month. No
"saving time": something like closed sales, orders that were not lost, or customers that were not lost
They came back.
e. Who is going to review it? If no one is going to review it, tell me: that is a loose task, not a
Work.
6. If any of my answers are vague or very general, please tell me frankly and don't fill it in for me.
That gap is the most useful thing we're going to find.
In the end, give me two things:
1. The written work, in this format:
My job: …
What it would give AI: …
Where is it happening today? …
What should I do? …
What does he do without being asked? …
How do we know if it works? …
Who reviews it: …
What I still don't have clear: …
2. A short message for WhatsApp, in the first person and from you, starting exactly with
"Hello Max, I already have the job you'd like to give me:" and summarize it in a maximum of 5 lines.
Start with the first question. With your Team – 45 minutes
The person who knows best what is done every day is the one who does it. Sit down with the printed list: first, say in one sentence why your customers pay you; then, each one of you will tell about your normal day; mark what takes up your time; choose one thing and answer the four questions with who is doing it today at the center of the table.
With me – 90 minutes
If you prefer to discuss it with someone who has already done it many times, we will sit down for a 90-minute video call with your operation on the table. We will come up with the written work, ready to give it to Max or any other agent. And if you then activate Max, what you paid for the session is fully deducted from the activation.
When you have it, tell it to Max.
With the written work, Max shows you how to do it in your business. Tell him what you wrote.
Max responds instantly.
